What we know about you fits on an order slip: a name, an email or phone number if you book the back room, and whatever you told us about allergies. That is the entire inventory. We never merge it with outside information, never buy lists, and never pass it to brokers. Payment details, when an order is placed, are handled by our payment processor and we never see the card number ourselves. We retain order records for tax purposes for the period required by law (typically six years), and contact-form messages for up to two years unless you ask us to delete them sooner. You have the right to access, correct, port, or erase any of it; email us and we will respond within thirty days. You also have the right to complain to a supervisory authority if you believe we have mishandled your data.
Cookies on this site are limited to the basics — keeping you signed in, remembering the items you've added to your cart, and recording the language and currency you've chosen. Nothing analytical, nothing for advertising, nothing shared with a third party. We do not use Google Analytics, Facebook Pixel, or any equivalent tool. We do not embed third-party content that drops its own tracking cookies. You can clear all cookies for this domain in your browser settings and the site will continue to work. The cookie that remembers your consent choice itself expires after twelve months; you can revisit your preferences any time by clearing it.
You can request a copy of everything we hold on you, ask for any of it to be corrected, withdraw consent for processing, or have your records deleted entirely. We will handle any reasonable request within thirty days without charge. You also have the right to ask for your data in a portable, machine-readable format so you can move it elsewhere. If we ever disagree with you about how something has been handled, you have the right to raise it with your local data-protection authority. Just email hello@clover-covezone.com.
When you book the back room or ask about allergens, we write down a name, a phone number and — if you tell us — the allergy itself. Allergy notes never leave the kitchen board and are wiped when the visit is over. The 'dog ledger' by the door (a paper notebook of regular dogs and their treats) is kept for fun, not marketing; ask and we will happily cross your pup out.
Card payments are processed by the terminal provider; we never see or store the card number. The espresso machine does not collect data. Neither do we, beyond what this page describes.
Data questions go to Clover Cover Zone, 64 Hagayaba, Nishikan Ward, Niigata City, Niigata 953-0034, Japan — or ring +81 256-72-4479 between opening hours, Tuesday to Sunday. We will correct or delete what we hold within two weeks of a verified request.
The complete list of third parties who touch any customer data: the card-terminal provider (payment processing), the mailing-list service (newsletter delivery), and the bakery-supplies wholesaler — who sees nothing personal at all but appears here for honesty's sake. Nobody else. No data broker has ever been near this cafe and none ever will be.
When this policy changes, the new version goes up on this page with the date of the change, and anything substantial — a new tool, a new purpose — gets a note on the chalkboard by the till for a fortnight, because that is where our regulars actually look. The mailing list hears about substantial changes too. Old versions are kept for three years and shown on request.
Children come in with adults, and their data comes in with adults too — a booking is always in a grown-up's name. We keep no records about children at all, apart from the occasional crayon drawing pinned by the till, which we consider a gift rather than data.
